504 ACH Debit Data Entry and Document Upload via ETRAN

Ventures passes ACH Debit data to the CAFS platform and also allows for you to upload the signed Debit Authorization Form and voided check.

Step 1 : Verify the Borrower Name and Tax ID

 

The Borrower Name and Tax ID in Ventures, must match the Borrower Name and Tax ID in ETRAN. There are several places in Ventures where you can review the Borrower Name and Tax ID, the most convenient is in the Entities page of your loan, as they should already be set up there at this stage of the loan process.

 

  • In the loan, click on Entities in the menu on the left.

The Entities page will load. It will display a table containing all the Entities in the loan. Review the name and tax ID of the borrower, ensure it matches what is in ETRAN.

 

 

Step 2: Input ACH data in Ventures

 

ACH data is entered in the ACH tab of the 504 Debenture record. The ACH tab will appear when a loan is in Approved or Funded status. To access the tab:

 

  • In a loan, click on Financing in the menu on the left
  • When the Financing page loads, click the Financing Sources tab
  • Click the 504 Debenture record. A pop up will appear.

 

 

  • Click the ACH tab in the pop up.
  • In the ACH tab, you must fill in all data fields for the information to pass from Ventures to ETRAN. Fill in the :
    • Bank
    • Routing #
    • Account #
    • Account Type
    • Account Name
  • When you finish entering the information, review it then click Save. The pop up will disappear.

 

 

  • Click save on the Financing Sources page.

 

 

Step 3: Uploading ACH Forms

 

To upload your ACH form your Application must have already been submitted to the SBA:

  • Click on SBA Submission in the menu on the left.
  • Click on Etran in the submenu that appears. The grid with your applications will load.
  • Click the hyperlinked Loan Number. A pop up will appear.

 

 

  • In the pop up click the Upload button.

 

 

  • You will be prompted to enter your SBA CLS account credentials. Remember this is not your Ventures account Credentials. Enter your SBA CLS account username and password and click Next. The pop up will update.

 

 

  • In the Submission Type field, select ACH Debit Authorization. Depending on what stage of the process you are in (Approval vs. Funding), you can update the SLPC points of contact here.
  • Click Continue.

 

 

  • The page will update. You will see two tabs labeled Required Documents and Exhibit Documents. In the Required Documents tab, you will see a space for you to upload the form along with the formats the form can be in. In this case we can see that only a form in PDF format is accepted. If you use Ventures Document Storage and have the forms mapped, you will see any forms you have uploaded to the Document store that map to this document.   • Click Add File under the name of the form or file you would like to add. A pop up will appear.

 

 

  • In the pop up click the Select or Drop files button to select the file from your computer. Alternatively you can drag the file to the box and drop them to add them. Ensure the document you are uploading is in an accepted format. The pop up will list what formats are accepted, in this case, for this document, only PDF files are allowed. 

 

 

  • You will see the file name appear in the pop up. Click Upload.

 

 

  • You will return to the page with the Required Documents and Exhibit Documents tab. You should see the name of the document you selected in the step above listed. When you have finished selecting the documents you would like to upload following the steps above, click the Upload Files button.

 

 

  • You will see a progress bar. Do not close the tab or browser till the process is complete. 

 

 

  • When the process completes, you will see a summary of documents that were uploaded successfully. If there were any errors they will be listed here as well.
  • Click Done

 

 

Step 4:  Submitting to ETRAN

 

To upload your ACH form your Application must have already been submitted to the SBA:

  • Click on SBA Submission in the menu on the left.
  • Click on Etran in the submenu that appears. The grid with your applications will load.
  • Click the hyperlinked Loan Number. A pop up will appear.

 

 

  • In the pop up you should see an entry for the form you uploaded in the steps above. Click Next.

 

 

  • You will be prompted to enter your SBA CLS account credentials. Remember this is not your Ventures account Credentials. Enter your SBA CLS account username and password and click Next. The pop up will update.

 

 

  • Review the listed information. If the Lender Contact field is not filled in, make sure to fill it in. Remember to choose an answer for the Adverse Change option. Click Next.

 

 

  • The pop up will update with a summary showing the data that will be transmitted to ETRAN. You should see the ACH data you entered in Step 2 of this article. Review the information to ensure the data is correct.
  • Once you have finished reviewing the information, click Submit.

 

 

  • You will see a progress bar. Do not close the tab or browser till the process is complete. 

 

 

  • Once the process completes, you will see a message confirming your upload was successful. Click Close.

 

 

  • If there is an error the pop up will update to list the errors encountered. Below is an example, yours may look different depending on the errors you encounter.
