Any loans your organization acquires through a merger or transfer from the SBA must be integrated into your portfolio. The SBA considers these loans part of your portfolio now. They will be included in your SBA 504 Annual Job Report.
To integrate a loan into your portfolio you must set the organization for the loan to be your organization:
- If you are not already on it, click the Overview option in the loan overview menu. This is the default menu option selected when you click on a loan.
- The General Tab for the loan will load. You can change the organization for the loan in the Lender Information section.
- If you want to note that the loan was acquired through a merger or transfer, you can use the File Location field, or the Office Field to note this. These fields can be used for reporting in Ventures.
- Click Save
Loans imported using the Ventures Loan File Transfer
Loans imported using the Ventures Loan File Transfer feature will automatically create a new organization record in your Ventures system. This is the organization you imported the loans from. You must update the organization on each imported loan to match your own for it to be integrated into your portfolio.
You can use the Loans main menu to filter your loans to only display loans assigned to the organization you imported the loans from. This will give you quick access to all loans that need to be updated.
- Click the Loans main menu option in the menu at the top of the screen
- Click the funnel icon to access the additional filter options for the loan table
- In the General Tab of the filter options, use the Organization filter to select the name of the organization the loans were imported from.
- The table will update to display all loans that are set to the organization. All of these loans need to be updated to your organization.
- Click the Log Number to navigate to Loan.
- The overview page for the loan will load. It will load to the general tab. Update the Organization field for the loan in the Lender Information section of the loan to your organization.
- Click Save
Do this for every loan that appeared when you filtered the loan table to display loans from the organization you imported the loans from. When you filter the loan page to display only loans from the organization you imported the loans from and you do not see any loans appear, you have completed the process.
When you have finished updating all the imported loans, you can delete the record for the organization that was created automatically during the import. Only site administrators can delete organizations. The organization will not delete if there are any loans associated with it.
- With a site administrator account, click Administration in the menu at the top of the screen.
- The Administration section of Ventures, by default, loads to the Organizations page. Locate the entry for the organization you want to delete and click the X button next to it.
- A confirmation message will appear. Click Delete to delete the organization. The pop up will disappear, you will see a confirmation message that the delete process occurred, and the organization will be deleted.
- If the organization has loans still associated with it, you will see an error. Return to the Loans main menu page and use the filtering options described above to ensure there are no loans associated with the organization.
