You can set up a payment notice so that it automatically sends in advance of the payment due date. This is a reminder that a payment is upcoming, and includes information regarding said payment.
Setting up payment notices is a two step process. The first step requires a site administrator account:
- Click on Administration in the menu at the top of the screen
- Click on Reference when the Administration menu loads. A submenu will appear.
- In the submenu click on Loan, another submenu will appear.
- In the Loan submenu click on Loan Types.
- Click the name of the loan type in the description column that you want to enable payment notices for, a pop up will appear.
- In the pop up select the Payment Settings tab.
- Scroll down. In the section labeled Billing Statement, fill in the field labeled “Generate When.” The default setting generates the statement the day it is due, but you can choose to have it generate 5, 10, 15, 20 or 25 days prior to the due date.
Note: The Generate When field controls when a billing statement is automatically generated. Notices are sent out when a statement is automatically generated. By default, this is set in your Payments menu -> Settings -> Billing Statements tab and is set to the date the statement is due. If the setting in Payment settings has not been updated and you want the notice to be sent ahead of the due date, you must update this field to an option that is not the default.
- In the Billing Statement Notices section, fill in the checkbox labeled Enable Notice Emails.
- You can choose a template in the Notice Template field. If you do this, you will override any template selections regarding notices in the payments screen. Only use this option if you want to use a specific template for all notices that fall under this loan type.
- Review what you have entered and click save.
Note: Payment Notices must be enabled per loan type. If you want a loan that is a particular loan type to send a payment notice, you must follow the steps above and enable payment notices for the specific loan type.
An account with access to the Payments menu is required for step 2:
- Click on the Payments menu option
- Click on Settings when the Payments menu appears
- In the General Tab, in the Default Statement Notice field, select a default notice template from your Web Templates to be used as the notice. This setting will be overridden if a template was selected for a loan type, in the site administrator instructions above. Templates can be created in the web templates section of Ventures. Remember if you have a default template selected, your choice here will be overridden.
- Once you have selected a template, click save.
- Click on the Billing Statements tab.
- In the Email settings section fill in the From Name field. This is the name the email will display in an inbox.
- Fill in the From Email field. This is the email address that will display as the sender of the notice.
- You can choose whether or not to Append the loan log number to the subject line of the email by checking the Append Log # To Subject checkbox.
- Scroll down to the Billing Statement Notice Emails section.
- Fill in the subject line with the subject line you would like the Notice email to state. This subject will be the subject for every notice email sent.
- Fill in the body of the email. This will be the body of the email for every notice email sent.
- Review what you have entered, then scroll up and click Save.
If you enable the above settings to send a billing notice, any loans that have their billing contact method set to email will receive the notices.
They will receive an email with the body you entered above, and the template selected as an attachment.
Any statements automatically generated and any notices sent out will appear in the Payment History table in Ventures:
- Clicking on Payments
- Click on Actions, a submenu will appear
- In the submenu, click on History.
- In the filter field, select Auto Generate Statements.
- The table will update to display statements generated, and report the number of emails sent and any errors encountered. Click the History ID for details.
