If your 504 closing attorney is using your Ventures platform to close loans you can assign certain loans to him/her so they only view the assigned loans.  To do this, your Site Administrator will have already created a user account for the Closing Attorney using the Permission set Closing Attorney.  To assign a loan to your closing attorney:

  • Within a loan click on Partner Contacts
  • In the Closing Law Firm field select the firm from the drop down selection by typing in the their name.  If one does not exist, click on the hyperlinked Add New option in the field that will appear when typing the Law Firm name and add the law firm.
  • In the Closing Attorney Field begin to type in the Closing Attorney name, select them from the drop-down options.  NOTE: This field will not be editable till a Closing Law Firm is selected in the Closing Law Firm field. If the Attorney does not exist in the drop-down Click on the hyperlinked Closing Law Firm which will cause their virtual card for that firm to appear.  Click on the Contacts tab and Add your Closing Attorney to the firm, click Save.  This will ensure that your Closing Attorney is associated to the Closing Law Firm and is a one time set up.
  • In the closing attorney field type in the name of the Attorney you associated with the Law Firm in the previous step.
  • Click Save once you finish adding the law firm and attorney.

When your Closing Attorney logs into your site they will only have access to the Home and Loans main menu.  The Loans page will display loans you've granted them access to.

TIPS:

On occasion, depending on how many duplicate contact virtual cards you have on your site, your attorney may still not have access to loans.  Why?  The virtual card that is associated with the specific law firm is probably not the same as the user account virtual card.  To resolve the issue:

  1. Visit the Contacts main menu and do a search for your attorney name;
  2. If you notice that there are multiple instances of the same contact - STOP;
  3. Have your Site Administrator access the Administration menu and click on the Attorney's virtual card within the user accounts section and add a "2" next to his/her last name;
  4. Visit the Contacts main menu and perform another search for your attorney;
  5. The results will hopefully return all duplicates PLUS the virtual card with a "2" next to the last name;
  6. Ask your Manager and/or Site Administrator to merge the duplicate attorney virtual cards to the virtual card with a "2" next to the last name
  7. Ask your attorney to try accessing the loan you granted him/her access to.
