Permissions Sets

The Permissions page allows you to create and maintain user permission sets or roles. Ventures comes with several user permission sets already set up. We will cover those below shortly. You can create as many user sets or roles as you like and configure their access levels to match your needs. Only Site Administrators can access the Permissions page.

  • Click on Administration in the menu at the top of the screen
  • Click on User Access in the menu on the left.
  • Click Permissions from the submenu that appears.

 

The permissions page will load. You will see the list of preset permissions sets in Ventures, along with any other permissions sets already created. The preset permission sets that Ventures includes are:

  • Auditor: Assign to any auditors who you grant permission to access your platform. They will have read-only privileges
  • Closing Attorney: Assigned to Closing Attorneys that are using a platform seat on your site and are accessing the site for generating loan documents (i.e. – they do not have their own Ventures platform). Limited access to loans. Can only view loans assigned to their Firm.
  • Manager: Similar to the Regular permission set except Manager has the ability to delete other staff data and ability to merge contacts/companies.
  • Read Only: Use this for someone you grant permission to access your platform with read-only privileges.
  • Regular User: Day-to-day activities; In and out of loans, create/update/delete own entries.
  • Site Administrator: Site Administrator(s) has/have access to Administration menu to add/edit/remove users and add/edit certain reference fields. Ventures recommends at least 2 individuals in your organization have this Permission setting.

Adding a Permission Set

To add a permission set of your own you have two options. You can click the copy button next to an existing permission set and use its settings as a base to build your own, or you can build a set of permissions from scratch by Clicking Add.

 

Whether you click the copy button or the add button, the permission set builder will appear.

  • Enter a name for the set you are creating. This is the name that will be used in dropdown menus to identify the permission set, so be as descriptive as possible.
  • If you are creating a permission set that should only have read only access, tick the read only box. This will change all access settings to Read-Only, saving you time. If you are creating a read only role, after you select the checkbox, click save. You have successfully added your read only permission set! 
  • If you do not want this set to be read only, go through each tab and specify what access levels you would like the permission set you are creating to have access to

 

  • The Entity TabControls what data users can read and update. For each data point you can choose to give the user:
    • No access: If selected, the user will not have access to this item.
    • Read only access: If selected, will only be able to read any entered information for the item. 
    • Create/Update only access: If selected the users will be able to read, create and update information for this item.
    • Create/Update/Delete Own: If selected the users will be able to read, create and update information for this item. The will be able to delete data they have entered for the item.
    • Create/Update/Delete All: If selected the users will be able to read, create and update information for this item. The will be able to delete any data entered for the item regardless of who entered the information.

The restrictions above can be applied to the following pages and areas in Ventures from the Entity tab:

  • Company information, Contact Information , Loan Documents in the document storage section of Ventures, the Loan page, the Notes page, the SBA Etrans pages, the Custom Report feature, Web Templates, the User Access page itself, the Tickler Template page, and the Tickler overview menu option.
  • Go through and make your selection for each option.

 

  • Click on the Menu Item tab

The Menu Item Tab: Allows you to control which menu items the user will see. You can select Enable or Disable to set whether the user can see the following:

  • The Documents Store, the Loan Review Page, the Administration Menu, the Contacts & Companies menuthe Leads menu, Links, Payments, Reports, TasksUtilities, the Payments Action menu, the Payments Month End menu, the Settings menu and the Payment Utilities menu.
  • Go through and make your selections

 

  • Click the Action Tab.

The Action Tab: Allows you to set whether a user assigned this permission set can carry out specific actions. Select enabled or disabled from the respective dropdown menu to enable or disable an action. Use this section to set if the user can:

  • Merge Contact and Merge Companies, make management widgets visible on the home page, delete a lead, change loan status, update funded financing, boarding loans in payments, delete all account data in payments, enter transactions in payments, add a tickler response, bulk add ticklers and process ticklers.
  • Go through and fill out the permissions as needed.

  • Click Data Filter tab.

 The Data Filter Tab: Is used to specify whether the user assigned this set can access specific data in Ventures. Select enabled or disabled from the respective dropdown menu to enable or disable an access to said data. You can control:

  • Access to Contact Notes/Tasks usually seen only by the owner, access to funded loans or you can mark if the user is a loan officer, access loans where the user’s company is a closing firm and if they can edit all user created reports.
  • When you finish making your selections click save.

 

To edit a permission set:

  • Click on the set, the edit permission set pop up will appear. It is identical to the create a permission set pop up. 

  • Make your edits in the pop up.
  • Click save.

To delete a permission set:

  • Click the X button in the row for the set you want to delete.

  • Confirm you want to delete the set by clicking the delete button.

The set you created will be deleted. Any users assigned to that permission set will be reverted to the permission type “Not Set.” Make sure to reassign any users who are impacted by the permission being deleted to another permission set.
