Importing Historical Transactions

You can import historical transaction data in bulk into Ventures using our Import Transactions feature.

 

  • Imported historical transaction data will be read only and cannot be modified in the system.
  • When viewed in a loan file, imported transactions will be listed in italics this will help you quickly identify which transactions were imported.
  • They will be added to the transactions table based on the effective date of the transaction as listed in the import file.

Using the Import Transaction Feature

 

 

  • Mouse over Payments in the menu at the top of the screen,
  • Click on Actions. The Actions page will load.
  • Click on Import Transactions History in the submenu on the left. The Import Transactions History page will load.
  • Click the link labeled "Download the template here" to download the template you will use to import your transactions. When the template downloads click it to open it.

 

 

  • Go through the template and fill in information for each transaction you wish to import. Each row represents a transaction that will be imported. Columns with the title highlighted in yellow are mandatory and need to be filled for the transaction to process properly.

 

 

  • The Help tab in the template contains instructions and examples on how to properly fill out data for each column
    • Note: Make sure you fill the Transaction Type column properly! If there is a typo in the Transaction Type, or the Transaction Type is not listed as an option on the help page, the transaction will be assigned the type "Miscellaneous"

 

 

  • Once you finish filling out the template save it.
  • On the Import Transactions History page use the "Select or Drop File" button to upload the template you prepared above. You can also drag and drop the file to the marked area to upload it.
  • Once the file uploads you will see a message confirming it was successfully uploaded, and the Import button will activate. Click Import.

 

 

 

  • You will see a processing bar. You can let the loading bar run its course, or you can use the Notify Me button to run the import process in the background and continue working in Ventures. If you click the "Notify Me" button You will see an icon next to the help icon indicating a process is running in the background. When the process complete you will see a notification informing you that it is complete.

 

 

 

 

  • Once the process is completed, if you did not click Notify Me you will see a pop up with a summary of what the import processed.
  • If you clicked Notify Me, you will need to click on the notification pictured above. It will take you to the background operations page, click the record for the import you processed to see the summary.

 

 

  • Whether the summary appears automatically if you stayed on the loading bar, or if you had to click to access it from your Background Operations page, the summary is the same. It is a comprehensive summary of what was imported and the breakdown of the figures imported; there is a lot of data here so make sure you scroll down to get the full picture of your import! The pop up has two tabs, one that explains the results of the import, and the other that lists the transactions created and the loans said transactions were assigned to. You can use the hyperlinked loan ID to quickly access one of the listed loans.

 

 

 

Import Transactions History

 

You can review a history of the all the import processes. 

 

  • Mouse over Payments in the menu at the top of the screen,
  • Click on Actions. The Actions page will load.
  • Click on History in the submenu on the left. The History page will load.
  • Set the filter to "Import Transaction History"
  • A list of all historical transaction imports will appear. You will see basic information regarding the import: When the import ran, the user that imported it and the number of records that were attempted to be imported and the number that were successfully imported.
  • Click the hyperlinked History ID to access an in-depth summary of the import. The pop up that appears is the same one that appears after the import is run as pictured above.

 

 

 

 

 

Deleting Imported Transactions

 

You can delete imported transactions in bulk.

 

  • Mouse over Payments in the menu at the top of the screen,
  • Click on Actions. The Actions page will load.
  • Click on Bulk Delete Transaction in the submenu on the left. The Delete Transactions page will load.
  • You will see a list of loans with transactions that were added through the bulk import process. You can filter the list to only show imports that occurred on a certain date.
  • Use the checkbox next to each loan record to select the ones you want to delete imported transactions for. This will only delete imported transactions!

 

 

  • Once you make your selection click the button with the Trash can on it to begin the delete process. A pop up will appear.
  • The pop up asks you to enter the number of imported transactions, and the number of loans said transactions are a part of. Confirm that you want to delete the imported transactions by filling in the respective fields. Remember! Once you delete an imported transaction, it cannot be recovered! You will have to reimport the transactions to get the history record on the loan again.

 

 

  • Once you fill in the fields the button labeled "Permanently Delete" will activate. Click it to delete the transactions selected.
