AI in the Knowledge Base
Our knowledge base can use AI to summarize articles in response to your searches. If you search for a question, for example, "How do I reset my password?", the built-in AI will review available articles in the knowledge base, find what it thinks is the relevant article and then summarize it for you at the top of the search result page. It can take a few minutes for results to appear.
The article or articles that the AI used will be listed under the summary. You will also have the ability to create a ticket from within the search result.
This applies to other styles of questions to. For example, searching for "where do I submit my loan application?" will generate instructions on how to submit your loan application to the SBA.
In general the AI does a good job of summarizing the information from our articles accurately. However, we have found that for some longer processes, such as creating a tickler template, it can leave out crucial detail that would help in building at tickler template. If you feel the summary is incomplete, or its instructions do not match what you see in Ventures, we recommend double checking the full article covering the topic. AI can occasionally hallucinate, or misjudge what is important enough to include in a summary.
General AI Best Practices
Understanding how AI works is crucial, especially if it uses your data to "train" itself or shares it with third parties. While AI's capabilities are impressive, concerns about fraud and data misuse remain significant. Always read agreements carefully to understand how your data will be shared and used. Look for an SOC (System and Organization Controls) report that outlines the company's data protection policies.
Ventures does not have AI tools integrated directly into its system, but there are several free tools available. Below is a list of some of them, and this space will continue to grow as new companies and capabilities emerge.
When using these tools, we recommend that you avoid sharing any personal borrower information. It’s best to remove sensitive details such as names, addresses, and other identifying data. You can replace these with placeholder text like "NAME," "ADDRESS," etc., and reinsert the actual information once the AI tool has provided the results you need.
Some tools may allow you to upload attachments, though they vary in terms of the document types they accept. If you’d like to upload a company’s financial spread from Ventures, you can generate it in Excel by following these steps:
-
Ensure that you have selected the appropriate tabs and rows to display using the View menu. The Excel export will only include what's visible on the screen so make sure the data you want to include is included in the sheet and not hidden via the View menu.
-
Once you have used the view menu to select what you want included in your export, click the Export Button. The spread will export as an excel sheet and download to your system.
-
Once the file is generated, be sure to remove the company’s name from the spreadsheet before uploading.
As you interact with these tools, they will often prompt you with follow-up questions to expand your results.
Here are some suggested AI sites you may consider based on ones we have tried:
ChatGPT (great for improving writing)
Perplexity (allows uploads of attachments, does well on company history information)
Microsoft Copilot (allows uploads of attachments, this is what we used to analysis an Excel spreadsheet)
