When you add a lead, or click on a lead from the Leads menu, the lead’s overview page will load. It allows you to update information for the lead. You will see a menu on the left.
The Overview Page: The overview page allows you to update or add information to the lead. If you add or remove any information, make sure to click the save button.
You can convert a lead to a loan. This will create a loan based on the data you have entered for the lead.
To convert a lead:
- Click the Convert button next to the label Convert to a Loan.
- A pop up will appear asking you to confirm that you want to convert the lead. Click the convert button to confirm.
- The pop up will disappear and the overview page for the newly created loan will load. Click save.
One section that you should take note of is the Referral Sources section. This is where you can note if the lead was acquired from a referral and if a 159 agreement is required for said referral source.
To add a referral source:
- Click the Add button.
- Select the referral type. If you do not see the referral type you need, your site administrator can follow the instructions here to add additional types.
- Enter the name of the referral. If they have already been added to your Ventures system as a contact, as your type their name, the dropdown will filter your available contacts, choose their name from the dropdown, if they are not in Ventures click add new and add them as a contact. You can find instructions on adding a contact here.
- Only enter a company if the referral is from a business. The process is the same as when you added the contact above.
- Go through and fill out the rest of the fields. If a 159 agreement is required, make sure you check the 159 agreement required check box.
- When you have finished entering the required information click Save.
You can generate a form 159 for a referral, and edit details for a referral:
- Click on the hyperlinked referral name in the From column.
- The edit referral pop up will appear. It looks similar to the Add a referral pop up pictured above. If you are just making edits, edit the information you need to and click save.
- If you want to generate form 159, scroll down to the forms section of the pop up and click the Generate Form 159 button. The form will generate and either start downloading automatically, or it will ask you where you want to save it based on your browser settings, make your decision in the pop up and the form will download.
- Click save to exit the pop up.
To delete a referral:
- Click the X button next to the referral you are trying to delete.
- In the confirmation pop up, confirm you want to delete the referral by clicking the delete button.
The Notes & Tasks Page: The Notes & Tasks menu on the leads page allows you to create notes and tasks for the specific lead. You can also see any notes or tasks related to the lead.
To add a note, ensure you are on the notes tab:
- Click the add button.
- Fill in the information for the note.
- Click save.
- The note will appear in the table.
To edit a note:
- Click the hyperlinked note in the table to make edits to the note. The edit note pop up will appear. It will look similar to the add a note pop up pictured up.
- Click save once you make your edits.
To delete a note:
- Click the hyperlinked note in the table (example pictured above).
- In the edit note pop up, click the delete button.
- In the confirmation pop up, click delete to confirm that you want to delete the note. The pop up will disappear and the note will be deleted.
The tasks tab allows you to assign an individual task, or a task list to this lead.
To add a task, from the task tab:
- Click the add button
- Fill in the details of your task
- Click save. You can view details on how to add a task here.
To add a task list to a lead:
- Click the Add task list button. The Add task list pop up will appear.
- Select the task list from the task list field. Enter a start date for the task list. Due dates in the task list will be based on the start date.
- Click the Add Tasks Button. The tasks from the task list will be added to the table.
To update a task:
- Click the task name in the task column.
- The edit task pop up will appear. It is identical to the Add a Task pop up. Make your edits
- Click save.
To mark a task as done:
- Click the done check box in the done column.
This will mark the task as done and automatically fill the completed date field in the task record.
To delete a task:
- Click the name of the task. The edit task pop up will appear
- Click the delete button.
- A confirmation popup will appear, confirm that you want to delete the task by clicking delete.
You will return to the task page, and the task will be deleted.
The Utilities Page: Let's you copy a lead, and delete a lead.
To copy a lead:
- Click the copy button.
- A confirmation popup will appear. Click copy to confirm that you want to copy the lead.
- The page will refresh and load the lead page for the copied lead. You can verify it is the copied lead by looking at the source system field.
To delete a lead:
- Click the delete button.
- A confirmation pop up will appear warning you that deleting a lead is a permanent operation. There is no going back once the lead is deleted. Click the delete button to confirm.
- The lead will be deleted and the main leads menu page will load.
The History Page: The history page is read only. It will list all the actions performed on the lead, when they were performed, and which user account performed said action.
